If your team copies data between apps, chases reminders by hand or re-types form submissions into a CRM, an automation platform can give those hours back. The three names that come up most are Zapier, Make and n8n.
They all do the same basic job: when something happens in one app, do something in another. The differences are in how easy they are, how they charge and who controls your data.
The quick verdict
- Zapier: the easiest to start with and the largest app library. Best for non-technical teams with simple, high-value workflows.
- Make: a visual builder for multi-step workflows at a lower price. Best for teams that want more logic without writing code.
- n8n: the most flexible and the most cost-effective at scale, with a self-hosted option. Best when you have technical help and want full control.
How the pricing models differ
Pricing changes often, so check each vendor's current plans, but the models themselves are what really matter:
- Zapier charges per task. Every action step that runs counts. A five-step workflow that runs 1,000 times uses about 5,000 tasks, so costs climb as workflows get longer.
- Make charges per operation. Each module that processes data counts. It is generally cheaper than Zapier for the same work, especially for multi-step flows.
- n8n charges per workflow execution on its cloud plans, no matter how many steps the workflow has. If you self-host the community edition, there is no per-execution fee at all. You pay for the server and maintenance instead.
In practice, long or high-volume workflows are where the difference shows. A workflow that is cheap on n8n can be expensive on Zapier.
Ease of use
Zapier is the friendliest. Its step-by-step builder reads like a sentence: "When a form is submitted, create a contact, then send a Slack message." Most people can build a useful automation in minutes.
Make uses a visual canvas where you drag modules and connect them. It handles branching, loops and data transformation well. There is a learning curve, but no coding is needed.
n8n also uses a visual canvas, and it lets you drop into JavaScript or Python whenever you need custom logic, call any API directly and build complex workflows. It assumes some technical comfort.
Integrations
Zapier has the largest library, with thousands of ready-made app connections. Make covers most popular business apps. n8n has fewer prebuilt connectors but can call any app with an API using its HTTP and webhook nodes, so in practice very little is out of reach.
If you rely on niche industry software, check that it is supported, or that it has an API, before you commit.
AI and agents
All three platforms now let you add AI steps, such as summarising emails, classifying support tickets or drafting replies. n8n goes furthest, with built-in nodes for AI agents, memory and connecting to your own documents, which makes it a strong choice for custom AI workflows. Data control and security
This is where n8n stands apart. Self-hosting means your data and workflows run on your own server, which matters for businesses handling sensitive client information or with strict data-residency requirements. Zapier and Make are cloud services. Both take security seriously, but your data passes through their infrastructure.
Which should you choose?
Choose Zapier if:
- Your team is non-technical and wants results today
- Your workflows are short and volumes are modest
- You need a connector that only Zapier has
Choose Make if:
- Your workflows have several steps, conditions or loops
- You want to keep costs down without hiring a developer
Choose n8n if:
- You run high volumes or long workflows
- You want AI agents and custom logic
- Data control or self-hosting matters to you
- You have a developer or a partner to set it up and maintain it
Our approach
We build on all three, and the choice usually comes down to volume, complexity and who will maintain it. For many growing businesses, we end up using n8n for heavy or sensitive workflows and keep Zapier or Make for quick wins the team can manage themselves.

Frequently asked questions
Is n8n free?
The self-hosted community edition can be used without licence fees under n8n's fair-code licence. You still pay for hosting and maintenance. n8n also offers paid cloud plans.
Can I switch platforms later?
Yes, but workflows do not transfer automatically and need to be rebuilt. Documenting what each workflow does makes moving much easier.
Do I need a developer for n8n?
For simple workflows on n8n cloud, not necessarily. For self-hosting, custom code and complex integrations, technical help is strongly recommended.
Which platform is most reliable?
All three are mature. Reliability depends more on good workflow design: error handling, retries and alerts when something fails.
